Document JotBlocks

This article refers to the process of designing JotBlocks in the Classic interface.  If you are using the new interface by selecting Create a new document envelope, see this article for more information.


Adding JotBlocks for a new document submission is easy. The process mirrors the mechanism for adding JotBlocks on a template, however certain choices are simplified since this process does involve configuration of template parameters.

Draw a new JotBlock

  • Identify the areas on the document where you would like data entered. If you are unable to see the document clearly, use the magnifying buttons located above the document in the template window to increase the size of the document. Move to other pages using the left/right arrows at the top of the screen.

  • Start by drawing a new JotBlock. Hold down the mouse button and draw a rectangle onto the document, just as if you were using a drawing program. Drag the mouse from the upper-left corner of where you would like the JotBlock to appear and release the mouse button when it is the correct size. Your jotblock will appear as a colored object where you drew it on the image of the document.
  • When you release the mouse button a dialog box will appear presenting options for the new JotBlock

JotBlock settings

  • Give your JotBlock a meaningful name so it is easy to identify when assigning workflow rules for it
  • Select "Signature" or "Text"
    • Signature: a JotBlock to be filled with written input by the signatory, via drawing with a mouse, a stylus or finger on a mobile device, or a signature pad
      • Enter the Input type, a Signature Jotblock may be filled:
        • by the signatory (the normal scenario) by selecting Signatory
        • at the moment during the design phase by selecting Fixed
      • Select an "ink" color
    • Text: a JotBlock to be filled with typed text
      • Enter the Input type, a Text Jotblock may be filled:
        • by the signatory (the normal scenario) by selecting Signatory, which will require setting the Input Type, one of
          • Freeform: the signatory may enter any text (ensure you have provided good signing instructions)
          • Validation: select from a number of pre-built validators or use Custom and enter a regular expression string and a validation failure message
          • Multiple Choice in the form of a Drop-Down list allowing 1 selection, Radio Buttons allowing 1 selection, or Checkboxes allowing multiple selections
          • Timestamp: a text timestamp will be written to the document when the signatory has completed signing during the workflow step
        • at the moment during the design phase by selecting Fixed
      • Select formatting options, including Font name and size, bold, italics, underline, horizontal and vertical alignment, and word wrap
      • You can also transform the text that is applied to the document by choosing a Formatter.
        • Alphanumeric Mask - Replaces all alphanumeric characters with an asterisk.
        • Credit Card Mask - Replaces all but the last four digits with an 'X'.
        • SSN Mask - Replaces all but the last four digits with an 'X'.

Note: A formatter, or mask, is for rendering purposes only. A formatter does not implement a regular expression to ensure valid input.

  • Determine whether the JotBlock input may be used to populate other JotBlocks. For example, if you would like the signatory to write their signature once and allow it to be applied in additional locations, you may set a Source Group value. Then, where the signature should be presented to the signatory to be applied via a new JotBlock(the signatory will still need to apply it) you will select the Source Group value you specified when the signature was first created. The "Source Group" is just a label you assign to link all connected JotBlocks together that should share input. 
  • Indicate if the JotBlock is required or if it is optional for the signatory to complete it
  • Enter Signing Instructions that prompt the signer to enter the expected information
  • You may manually set the JotBlock's position using X,Y coordinates
  • You may manually set the size of the JotBlock in pixels
  • Select whether the JotBlock should be rendered as a Certified JotBlock
    • a Certified JotBlock will be rendered with meta-data in its frame indicating the JotBlock ID, the IP address where signing occurred and a universal time (UTC) timestamp
  • Choose a border type

Copy an existing JotBlock

To copy an existing JotBlock to the current page of the document:

  • Click on the copy icon above the JotBlocks list window on the right

  • Click on the document where you would like the JotBlock to appear (you may always move it later)
  • Select the JotBlock to copy from the pop-up dialog

In order to move a JotBlock to a new page, you will need to copy it to the new page and delete the original version.

Edit an existing JotBlock

  • Select to edit an existing JotBlock by clicking on the wrench icon in the JotBlock list on the right
  • Delete an an existing JotBlock by clicking on the red X icon in the JotBlock list on the right

Set the order in which JotBlocks are presented for signing

It is important to remember that not all the JotBlocks need be signed by a single signatory, the the signing order may be overridden or affected by how JotBlocks are distributed in signing steps when editing workflow).

  • Click on the number order icon above the list of JotBlocks

  • Drag and drop the listed JotBlocks into their selected place

Finish

  • Click the continue to workflow button when you are done editing JotBlocks

  • If you are not using a template with fixed worflow, you will be taken to document workflow

  • You may leave without finishing by clicking the door icon in the upper right corner
